Schedule: Full-Time/Day

Shift : 7:00am-5:00pm Monday through Thursday with the flexibility

The role you’ll contribute:

Under the supervision of the Case Management Director or Case Management Manager, the Case Management Administrative Secretary is responsible for the overall day to day operational functions of the case management office. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all

  • Understands the departmental functions in order to respond appropriately to internal and external requests.

  • Screens and refers all incoming telephone calls and visitors to the appropriate staff via wireless, email fax etc.

  • Maintains department and/or Management calendars for scheduling, arranging appointments and meeting locations. Accurately documents times and contact of appropriate individuals.

  • Prepares all documents (letters, reports, memos, etc.) with minimal errors utilizing current and evolving programs/technology.Proof reads all work to ensure accuracy and professional presentation.

  • Maintains an appropriate filing system to ensure retrieval of information.

  • Processes departmental orders and invoices in a timely, efficient and accurate manner.

  • Prepares and shares with management trending related to discharge planning expenses.

  • Interacts with vendors in the departmental invoice, order and billing process to ensure accurate billing and positive professional relationships.

  • Prepares and distributes various informational materials to staff.

  • Opens and reviews incoming mail, distributes or routes in a timely manner.

  • Monitors departmental office supplies on a regular basis to ensure adequacy of inventory.

  • Maintains departmental staffing calendar and serves as time keeper for PDO request, time clock adjustments, etc.

  • Actively manages the system-wide AH response/tracking to intra/inter-hospital morgue issues, including contact with appropriate County Indigent Burial Programs

  • Maintains system-wide Case Management responsibility for on-line next-of-kin searches for AH inpatients.

  • Escalates any and all issues as necessary to management in an efficient/appropriate method.

  • Performs all other duties as assigned .

Preferred qualifications:

  • Experience in an acute care or health care setting

  • Knowledge of office filing and reconciliation of office expenses.

  • Experience in an office or healthcare environment

  • High school diploma or GED
