Supervisor: Managing Director – Commercial and Construction Management

FLSA Status: Exempt

JOB PURPOSE: Maximize the performance, profitability and protection of the commercial assets. This is accomplished by performing the management of lease administration, tenant correspondence, cash management, accounting and banking activities, tenant and vendor relations and monthly reporting.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Include the following but are not limited to the job specifications contained herein. Additional duties or job functions that can be performed safely may be required as deemed necessary by Harbor Group Management Company.

Building Administration

Review lease abstracts, process move-outs, refund security deposits and create correspondence such as rent increase letters to tenants, rent statements, sales requests and delinquency notices.

Manage accounting, cash, ancillary income, and banking activities, such as reviewing, coding and entering or uploading vendor invoices; obtaining completed W-9’s and required insurance from all vendors, preparing monthly cash management and monthly reforecast reports, handling and posting deposits, making rent collection calls to tenants, mailing invoices, creating tenant bill-backs and preparing invoices, researching and correcting bank reconciliations, and requesting reserve disbursements.

Track tenant sales, certificates of insurance and preventative maintenance agreements.

Prepare property reports as needed, including weekly occupancy reports, monthly and quarterly management reports and annual BOMA Experience Exchange Report (if applicable).

Provide expenses and reconciliation data for annual budget, calculate and bill annual operating expense reconciliations.

Building Operations

Communicate with contractors on warranty items and outside building repairs.

Provide tenant electric usage and utility bills to chief engineer monthly for ENERGY STAR reporting (if applicable).

Schedule outside services and contractors for both tenant and building needs (if applicable).

Tenant Relations

Act on tenant requests and complaints and assure follow-up and completion.

Coordinate tenant special events, both building wide and for individual tenants, if applicable.

Manage tenant work order process, if applicable.

General

Continually improve skills and abilities for growth in property management through CPM and RPA studies and attending BOMA seminars and programs.

Special Projects as assigned

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. Bachelor’s degree in Finance, Accounting, Property Management or related field, or commensurate experience required.

CPM and/or RPA credential candidacy is preferred. A minimum of four years’ experience in property management, marketing and/or leasing office buildings with a major management firm, owner, or developer of Class A properties in a downtown business district is preferred.

Real Estate Sales License is a plus.

SUPERVISORY RESPONSIBILITIES: This position has supervisory responsibilities to include planning, assigning and directing work or addressing complaints and resolving problems. This position will carry out those responsibilities in accordance with the organization’s policies and applicable laws.

TRAVEL: Frequent local travel to the properties, and ability to travel out of state approximately 10-20% of the time.
