ISHPEMING PUBLIC SCHOOL DISTRICT Community Schools Office Manager in Ishpeming, Michigan

The Office Manager to the Director is a full-time, full-year, non-union position responsible for supporting high-level leadership in the management of the Ishpeming Public School District. This position provides administrative support to the Director and Community School staff.

Minimum Qualifications:

· Prior successful office experience in an administrative role is required

· Proficient in technology including Microsoft Office and Google Suite products

· Ability to learn specialized department software applications

· Dependable and able to perform position duties and functions while upholding confidentiality of privileged and sensitive information

· Ability to communicate clearly and concisely, both orally and in writing

· Ability to work independently and in a team setting

· Must be able to problem-solve and demonstrate sound judgement in stressful circumstances

· Must consistently perform duties and functions thoroughly and accurately, with a strong attention to detail

· Exceptional organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines is required

 

Essential Duties and Responsibilities:

· Serve as confidential assistant to the Director; performs a variety of clerical and technical tasks for the efficient operation of Community Schools

· Route to the Director correspondence or communications warranting his/her attention and drafts replies for his/her review

· Prepare/maintain documents, records and files including information of a confidential nature for the purpose of providing up-to-date information and audit trail for compliance

· Perform accounts payable tasks, including processing requisitions, purchase orders, verifying accuracy, obtaining approvals and submitting for payment in a timely manner

· Enroll all adult high school, alternative and adult basic education students in data management software. Complete all necessary documents for enrollment, reporting and audit compliance

· Process and approve hourly employees in district payroll application

· Assist Enrichment Coordinator with class preparation, scheduling, instructor contracts and class registration. Prepare tuition deposits and statistics

· Oversee and assist Part-time Secretary with their respective duties

· Perform other duties as assigned
